Meetings and the calendar
Applies to: SimpleTwo 0.9.x · Checked: 20.09.2026
A meeting in SimpleTwo is a calendar entry and a call room at the same time. You create one in the app: New meeting.
1. Scheduling
| Field | What to note |
|---|---|
| Title, Description | the description is optional |
| Start, Duration | the time can be typed as text |
| Participants | colleagues from the directory; external people by email address |
| Resources | meeting rooms and devices; those already booked show as busy |
| Lobby | guests wait until they are let in |
| Reminder | a day, an hour, N minutes before, or none |
| Meeting transcript | turns on automatic recording |
You may pick nobody at all: you will send the link out yourself.
Find a time. The button shows the windows in which every invitee is free. Availability is computed from working hours — yours, or the organisation's (which come from the HR system and are not editable then). Guests' availability is not guessed: they are asked. If there is no common window, the app says so — widen the range or shorten the meeting.
2. External participants
An external person gets a guest link: they open it in a browser, land in the room and — if the lobby is on — wait until an organiser lets them in.
A guest sees only the meeting: no messages, no history, no list of your conversations.
A meeting link exists in advance and lives as long as the meeting does; a link from a call in progress works while the conversation lasts and closes after 15 minutes if nobody enters.
3. Reminders and "Open in Calendar"
The reminder fires in the calendar that holds the meeting: the alarm travels both in the invitation and in the subscription. Open in Calendar hands the meeting to the system app.
4. Your calendar in the app you already use
Calendar subscription — the Calendar app section:
| Method | What it gives |
|---|---|
Read-only link (webcal://) | any calendar can subscribe and will see the meetings. No password, and nothing can be changed through it |
| Full access (CalDAV) | Apple Calendar, Thunderbird and anything speaking CalDAV: meetings appear, update, and can be created |
A device password is shown once — if it is lost, create a new one and revoke the old. On a Mac: System Settings → Accounts → Add another → CalDAV, type "Manual".
If a link went somewhere it should not have, Rotate key disconnects every old subscription at once.
5. Who can see your calendar
Calendar access is a single list of every link and device you have granted: when access was given and when it was last used. A link you cannot see is a link you cannot revoke, which is why the list is one and complete.
The level is chosen per grant:
| Level | What is visible |
|---|---|
| Busy only | "Busy" blocks with no detail |
| Titles | meeting titles, without descriptions or links |
| Details | title, description and the join link |
| Can edit | the same, plus changes |
| Delegate | the same, plus cancelling meetings |
Meetings marked private appear as "Busy" in somebody else's view.
