Mail is the Mail tab in the SimpleTwo Connect app on iPhone and iPad, Mac and Android. There is no separate sign-in: mail opens with the same sign-in as chats. The badge on the tab is the number of unread messages in your personal mailbox's Inbox.
The tab appears only when your organisation has the mail service deployed and the mail option on. No tab — ask your administrator: it cannot be set up in the app. In the Windows app the Mail section is still empty; the web version has no mail.
1. Mailboxes and folders
- Besides your personal mailbox the list may show shared mailboxes you were given access to. Folders are grouped under their mailbox's name. In a read-only mailbox the buttons that change mail are hidden and you cannot write from it.
- Folders open from the button with the current folder's name. The standard ones: Inbox, Drafts, Sent, Archive, Junk, Trash, Scheduled, Snoozed.
- Your own folders are created, renamed and deleted there too: New folder, Rename, Delete folder.
2. The message list
- A message shows an unread dot, a flag, category colours, and for a scheduled or snoozed one the time.
- Filter: All, Unread, Flagged, With attachments, and by category.
- Swipe a row (on Mac, the context menu): Read / Unread, Flag / Unflag, Delete (to Trash), Archive, Junk / Not junk.
- Show older loads more history. The device keeps mail for a period your organisation sets; older mail stays on the server and search finds it.
3. Reading
- A message opens whole, with its conversation. External images are not loaded until you press Load external images — so the sender does not learn you opened it.
- A sender outside the organisation is marked outside the organisation.
- Buttons: Reply, Reply all, Forward, Read, Flag, Archive, Junk, Delete, Move to…. The ⋯ menu has Snooze, Categories, Print.
- Attachments open in a preview on iPhone and in the default app on Mac.
- A meeting invitation in a message can be Accepted, answered Maybe, or Declined.
- A message you sent shows delivery for each recipient: delivered, queued, not delivered, or relayed onward.
4. A new message
- Fields To, Cc/Bcc, Subject. A From field appears when you may write as somebody other than yourself — a shared mailbox or a group, for instance.
- Messages are written as plain text: the editor has no formatting (bold, lists, button links).
- Attach file — pick a file on the device.
- Request a read receipt — optional.
- If your organisation adds a disclaimer to messages, the editor says so.
- A closed message is saved to Drafts by itself; Delete draft is a separate button.
Send later
The Send button has Send later: Tomorrow morning, Tomorrow afternoon, Monday morning or Pick a date and time…. The message waits in Scheduled; from there it can be Sent now, rescheduled or cancelled. The button shows if your organisation's server supports it.
Recall a message
A sent message can be recalled from recipients inside the organisation who have not read it yet. The app shows the result for each recipient. It is not recalled from recipients outside the organisation — it has already gone.
Undoing a send in the first seconds ("undo send") is not available yet.
5. Snooze and categories
- Snooze until — Later today, Tomorrow, This weekend, Next week, or a time of your own. The message moves to Snoozed and comes back to the Inbox at that time. Return now — earlier.
- Categories — coloured labels. The list is edited in Manage categories….
6. Search
The Search mail field, from two characters. What is found on the device is shown first, then the whole mailbox on the server. Filters: From, To, From date, To date, Only this folder. Search matches substrings and ignores word forms.
7. Trash and recovery
- Empty trash asks for confirmation.
- Recover deleted messages shows messages deleted permanently that the server still keeps: Restore, with the date until which it is possible. Your organisation sets the period.
8. Mail settings
Opened from the personal mailbox:
- Signatures — one per sender address. Stored on this device only: on another phone or computer they have to be set up again.
- Read receipts — how to answer requests.
- Auto-reply — start and end dates, subject and text. While it is on, the list shows an Auto-reply is on bar with Turn off.
- Rules — simple rules for sorting incoming mail.
- Storage — space used and the mailbox size. When the mailbox is nearly full a warning shows above the list; a full mailbox accepts no new mail.
9. Notifications
A new message in the Inbox brings a notification: the sender and the subject, without the body. Tapping it opens the app, but not the message itself. While the app is open, new messages appear at once, without notifications.
10. Mail in other programs
For programs that cannot sign in through a browser, an app password is created in the employee portal (if your organisation has turned them on). With it:
- sending over SMTP on port 587 (STARTTLS) or 465 (TLS); the server's address comes from your administrator;
- reading over JMAP — only for programs that support that protocol.
There is no IMAP or POP3: an ordinary mail program that speaks only those cannot read the mailbox.
